We all know how real life gets in the way of fandom-ing. biggrin.gif Nearly every staff has gone on PK leave at some point. Since 2008, we've issued this "Guarding the Muggle Minister" badges for staff who needed to go on extended PK leave.

Note that all "on leave" mods are welcome to give advise or to take on more active duties; some do help out whenever they could spare the time. Following links would display maximum of 10 names per page.

  • Our board software's default "moderating team" page could be seen by everyone without logging in. However, it doesn't quite capture the roles each staff member plays, esp those who multi-task across teams. That page doesn't allow us to easily edit the "Administrators", "Global Moderators" and "Forum Moderators" headings. This post's my humble attempt to paint a better picture on who does what, or who had done what, in Portkey.org.

  • All Portkey.org staff should have received a hat and/or badge. If you know of a past or present PK mod who:

    -- hasn't gotten a hat or badge
    -- and/or whose name doesn't show up in the search results for the above-listed links;

    then please post their names (and links to their profiles, if possible) in here so that we could make the necessary adjustments. smile.gif Any omission was completely unintentional!

How to report a Portkey fanfic that could be in breach of our Fanfic Policies?
This refers to stories uploaded in fanfiction.portkey.org.

FIX: Use either one of the two Report this story to the admins links found on each chapter. One's below the story title while the other's above the review box.



How to contact the mod team about other matters?

Best way would be to post in our FAQs and Help Desk. You can post in there for any concern, not only about rule-breaking issues but also requests for assistance. When in doubt over which point of contact to use, you can post in there.



How to report a forum post or forum sig/avatar? How to alert mod team for issues that need to be resolved ASAP?

This refers to messages, signatures or avatars seen in talk.portkey.org. To report them esp for breaking our Site Policies and other time-critical issues, please use the Report button on every post, next to the 'Quote' button. Using this function will send an alert to the moderating team, with said alert containing a direct link to the post.



How to report an issue in our Fanart Gallery (gallery.portkey.org)?

Best to post a message in our FAQs and Help Desk's subforum for the Fanart Gallery.



How to report an issue in our Fic Recommendations database? (recs.portkey.org)?

Best to post a reply in the recommended fic's Link to Discussion Forum. The current report form (linked in the recommendation details popup) no longer shows the report sender's name, hampering rec mods from replying in most cases.



Can you use the contact the forum administrator link shown in some screens?

We do NOT recommend it as this is the least reliable means for us to get your message. We prefer the other channels explained on this page.

EDIT OCT 16 2009: We've now edited our error screens to remove the default "contact the forum administrator" link. We've replaced it with more Portkey-specific instructions for getting assistance.



EXPECTED RESPONSE TIME esp for less than urgent issues:

Please give the mods two weeks to respond about your issue, but do note that mods do their best to act sooner. If you assume that Portkey mods log in here only on weekends as they don't get paid for their work here, then one calendar week should be considered the equivalent of one "response day".


If you haven't gotten a response after two weeks, you may follow up by the following methods:
  • If you had made a post in the FAQs and Help Desk
    - then hit the Report button on your older post and write Just wanted to follow up on this in the Report form. Other mods would see that report.

  • If you had hit the Report button in the forums (in talk.portkey.org)
    - you may use it again (on the same urgent post or topic) or make a post in the FAQs and Help Desk;

  • If you had used the "Report this story to the admins" form (in fanfiction.portkey.org)
    - you may use it again or make a post in the FAQs and Help Desk.

As usual, please post in here if you know of some deserving PK-ers who haven't received their graphics (hats or badges) yet. We assure you that any omission was unintentional on our part. It's only due to the difficulties of compiling names esp for teams who've worked on projects done years ago.
